How we collect, use and protect your personal information
Last updated: 15 October 2026
InterpreterTranslation, LLC (“InterpreterTranslation”, “we”, “us” or “our”) runs interpretertranslation.com and provides translation, interpreting, training and study-abroad services, including the Spain Interpreter Retreat. This policy explains in plain language what personal information we collect, why we collect it, who we share it with, and the choices and rights you have.
The short version
- We collect what you send us through our forms, your order and payment confirmation, and the travel details needed for a course or retreat.
- We use it to answer you, take payment, deliver the courses and the retreat, send the newsletter you asked for, and keep the site secure.
- We share it only with the providers that make this possible — payment, email, hosting and, for the retreat, the hotel and local partners.
- We do not sell your personal information. You can ask to see, correct or delete it at any time.

1. Who is responsible for your information
InterpreterTranslation, LLC is the controller — the organisation responsible — for the personal information described in this policy. You can reach us at:
- Email: info@interpretertranslation.com
- Phone: +1 305 490 9674
2. Information we collect
Information you give us. When you fill in a form, subscribe to our newsletter, place an order, create an account or contact us, we collect the details you provide. Depending on the form, this may include your name, email address, phone number, mailing address, the content of your message or enquiry, and your preferences or communication choices.
Registration and travel details. If you book a course, a package or the Spain Interpreter Retreat, we need the information required to deliver it and to meet travel and legal requirements. This can include your full name as it appears on your identity document, date of birth, passport details or a copy of your passport, flight itinerary and arrival and departure times, home address, room and occupancy preference, roommate details, emergency contact details, and any dietary, accessibility or health information you choose to tell us so that we can support you during the trip.
Payments. Payment card details are entered on the payment provider’s own secure pages; we do not receive or store your full card number. We do receive confirmation of the transaction, the amount paid, and limited billing details such as the name, email address and billing country associated with the payment.
Information collected automatically. When you browse the site, we and our service providers collect technical information such as your IP address, browser and device type, operating system, referring pages, the pages you view, and the dates and times of your visits. We collect this using cookies and similar technologies; see section 5.
Information from other sources. We may receive information about you from the providers that help us run the site and the business — for example payment confirmations from our payment processor, or email engagement and subscription status from our newsletter provider.
3. Why we use your information
- To reply to you and provide what you ask for — answering enquiries, sending information about courses and retreats, and administering your account. We rely on your request and on our contract with you.
- To take payment and fulfil your order — processing purchases, issuing invoices and receipts, and arranging the services you booked. We rely on our contract with you and on our legal obligations, such as accounting and tax records.
- To run the Spain Interpreter Retreat and other trips — registering participants, arranging accommodation, transfers and excursions, and sharing the minimum necessary details with the hotel and local partners. We rely on our contract with you and, for health, dietary or accessibility information, on your consent.
- To keep you informed — sending our newsletter and information about courses, retreats and services where you have subscribed, or where we have a legitimate interest in marketing to you. You can unsubscribe at any time using the link in every email or by contacting us.
- To keep the site secure and working — preventing spam, fraud and abuse, protecting our forms with reCAPTCHA, and troubleshooting. We rely on our legitimate interests in protecting our business and our visitors.
- To understand how the site is used and improve it — measuring visits and traffic sources and improving our content and performance. We rely on our legitimate interests and, where required, on your consent to non-essential cookies.
- To comply with the law — meeting legal, tax, accounting and regulatory requirements, and responding to lawful requests.
4. Payments
Payments on this site are processed by PayPal. Depending on your location and the option you choose, PayPal may process your payment through a PayPal account balance, a linked bank account or card, a credit or debit card entered on PayPal’s own checkout pages, or Venmo. PayPal acts as an independent controller of the payment information it collects, and its handling of your data is governed by PayPal’s own privacy statement. We do not store your full card number or your PayPal login details.
5. Cookies, analytics and advertising tools
Cookies are small files stored on your device. We use them to keep the site working — for example, remembering what is in your cart — and, where permitted, to measure and improve the site. We use Google Tag Manager to manage the tags on the site, which may load tools such as Google Analytics and advertising or remarketing tags, and Google reCAPTCHA to protect our forms from spam. These providers may set their own cookies and receive information such as your IP address and the pages you visit.
You can control or delete cookies through your browser settings, and you can use your browser or device controls to limit interest-based advertising. Blocking some cookies may affect how the site works — for example, the shopping cart and checkout.
6. Who we share your information with
We do not sell your personal information. We share it only as needed, with:
- Service providers who process information on our behalf, such as our hosting and email providers, our newsletter platform (Mailchimp), our payment processor (PayPal), and Google for Tag Manager and reCAPTCHA.
- Travel and course partners — for the Spain Interpreter Retreat, the hotel, transport providers and local partners receive the participant details they need, such as names, dates of stay and room assignments.
- Professional advisers — accountants, insurers and lawyers, where necessary.
- Authorities — where we are legally required to do so, or where it is necessary to protect our rights, our participants or the public.
- A successor organisation — if our business or assets are transferred or merged, information may be transferred as part of that transaction.
7. Where your information is processed
We are based in the United States and our service providers are located in the United States and other countries. If you are in the European Economic Area, the United Kingdom or Switzerland, your information will be transferred outside those areas. When we transfer information from those areas, we rely on appropriate safeguards such as the standard contractual clauses approved by the European Commission, or on your consent where the transfer is necessary for a service you have requested.
8. How long we keep your information
We keep personal information only as long as we need it for the purposes described above. As a guide:
- Enquiries and general correspondence: up to 24 months after our last contact.
- Newsletter subscriptions: until you unsubscribe, plus a short period to record your request.
- Orders and payment records: for the period required by tax and accounting rules, typically 6 to 10 years.
- Retreat and travel documents, including passport copies and flight details: until the trip and any related matters are closed, then deleted or securely destroyed.
- Website analytics: as described in the retention settings of our analytics tools.
9. Your rights and choices
Depending on where you live, you may have the right to:
- ask for a copy of the personal information we hold about you;
- ask us to correct information that is inaccurate or incomplete;
- ask us to delete your information;
- ask us to restrict or object to certain processing, including marketing;
- withdraw consent you have given, at any time;
- receive the information you gave us in a portable format;
- not be discriminated against for exercising your rights.
To make a request, email us at info@interpretertranslation.com. We respond within the time allowed by applicable law and may ask you to confirm your identity first. If you are in the European Economic Area or the United Kingdom and you are not satisfied with our response, you have the right to complain to your local data protection authority; if you are in Spain, that is the Agencia Española de Protección de Datos. California residents may also contact the California Attorney General.
10. How we protect your information
We use technical and organisational measures to protect personal information, including encrypted connections (HTTPS), access controls, and limiting access to information to those who need it. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
11. Children
Our services and the Spain Interpreter Retreat are intended for adults. We do not knowingly collect personal information from children under 18. If you believe a child has provided us with personal information, contact us and we will delete it.
12. Links to other websites
Our site may link to other websites, such as our social media pages or partner sites. We are not responsible for the privacy practices of those websites; please read their privacy notices.
13. Changes to this policy
We may update this policy from time to time. When we do, we change the “Last updated” date at the top and, where the changes are significant, we provide a more prominent notice on the site.
14. How to contact us
For any question about this policy, or about how we handle your information, contact us and we will be glad to help.
